Administrative Assistant Internship (JOBBRIDGE)

We are seeking an individual with energy, commitment, self-confidence and excellent organisational skills to support development and daily operations at Dublin Youth Theatre.   The individual will work very closely with the General Manager as well as learning from the whole team, including the Board of Directors, Artistic Director and workshop facilitators of this highly-regarded organisation.


The successful candidate will gain experience in all aspects of the day to day running of a youth theatre, including;



  • organisational management,
  • making funding applications and liaising with funding bodies
  • producing plays both in-house and in venues across the city
  • working with young people
  • organising a programme of activities
  • engaging with arts professionals locally, nationally and internationally
  • fundraising
  • budgeting and finance


This position reports to General Manager and is key to the smooth and efficient running of the Dublin Youth Theatre office. The Administrative Assistant will require excellent verbal communication skills and the successful candidate should be resourceful and able to deal with public enquiries confidently and efficiently. Flexible working hours will be required with some evening and weekend work expected around the programme of events.

Our successful candidate will liaise with the 110 members between the ages of 14 and 22 who participate in weekly workshops, international events, and members of the public, as well as past members, workshop facilitators, directors, designers, visitors to the building, contractors and suppliers.  Our new team member will play an integral role in assisting with coordination of the programme of events for 2012 and planning for 2013, front-of-house, marketing, building, and operations administration and will provide production support to our in house events.  S/he will learn tasks be given responsibilities essential to the day to day running of a dynamic youth arts organisation.  



Duties and Responsibilities

Office Management


  • Answering telephone calls into the building
  • Greeting visitors into the building
  • Ensuring requests for information are dealt with in a timely manner
  • To actively and diligently maintain and use existing organisation systems
  • To distribute incoming post and assist in all mailings including group mail outs to company members and membership.
  • Updating the database and archive as required




  • To provide general administrative assistance especially during production periods
  • Assisting at DYT productions including box office and usher roles
  • To be aware of health and safety issues within the work environment and set an exemplary standard to contractors and members
  • To work as part of the company team
  • At the conclusion of the internship provide written feedback on the strengths and weaknesses and any problems experienced during the internship.
  • Other duties as required by the General Manager



Personal Spec, Skills and Education


  • Graduate degree in Drama and Theatre Studies, Arts Management or relevant disciplines or a Master’s degree or post-graduate diploma in arts administration/management, or related fields.
  • Computer Competency, experience working with Microsoft Office Suite, Word, Excel etc, experience of computerized accounts an advantage.
  • High level of competency in team-working, communications, organisational systems, planning, concern for clarity of presentation and work quality.
  • The candidate must agree to participate in the Garda Vetting programme and knowledge of current child protection guidelines would be an advantage.
  • An interest in working with young people and a flexible attitude to working hours is essential.
  • The ability to work on one’s own initiative to act creatively and be forward thinking to anticipate problems and crises
  • Our successful candidate will demonstrate absolute commitment to the internship period and be driven and ambitious for their career.
  • Knowledge and/or experience of contemporary theatre will be an advantage.
